Host the 2019 OR the 2020 TCG National Conference

Host City Proposals Due: Friday, January 26, 2018

2018 National Conference Host Committee Co-Chairs Cynthia Fuhrman (Managing Director, Portland Center Stage) and Sarah Horton (Managing Director, Artists Repertory Theatre) on stage in Portland.

TCG Member Theatres and theatre service organizations from across the country are invited to submit proposals to host the 29th or the 30th TCG National Conference, the largest nationwide gathering of the not-for-profit professional theatre community, in June of 2019 or June of 2020.

In past years, TCG solicited proposals on a regional rotation basis, but now opens up the application field to include any theatre community in the United States, and potentially in Canada, Mexico, or abroad. TCG will take into account the past cities in which the Conference has been held, but having a hosted a TCG Conference in prior years does not disqualify a city from eligibility to host again in the future.

The TCG National Conference is an annual event that brings together up to 1,200 theatre professionals from across the nation and around the world for meetings, speeches, and performances, and a chance to explore the local theatre community of the Conference host city. The Conference is a vital gathering for the advancement of the field, and the host city benefits from it in many ways. In addition to introducing national colleagues to the city’s theatre community, local theatres take part in planning and are offered special opportunities to involve affiliated staff, board members, and artists in the Conference. It’s a unique opportunity for close partnership with TCG over the course of a planning process that lasts nearly a full year. Many theatre communities also report that the Conference fosters a close collaboration among their organizations and artists that has a long-lasting impression and influence.

The host organization(s) must be willing and able to provide guidance and offer logistical support via a host committee, comprised of local theatre staff representatives and other area theatre leaders. This committee’s responsibilities typically include, but are not limited to: engaging the broader local theatre community around the Conference, hosting the opening night reception of the Conference, helping TCG to recruit and oversee a large local volunteer pool to help staff the Conference, as well as helping TCG to engage the local funding community and raise funds locally. TCG looks for enthusiasm from the community, and articulation about the mutual benefit to the host city and the national theatre community in hosting the Conference.

Proposals must be submitted by TCG Member Theatres or theatre service organizations, although the Conference facilities need not be at a Member Theatre. Proposals will be evaluated according to how well the site meets Conference needs and whether it indicates a high level of support and interest from the local theatre community. Proposals must answer the questions included in the guidelines, and supporting materials that will assist TCG staff in evaluating the proposal are welcome. TCG staff will identify and visit the leading sites for 2019 in early 2018 and will select the 2019 Conference site by spring of 2018. Site visits will include tours of all proposed meeting and lodging options, meetings with local organizations and the host theatre community, potential funders, etc. Applicants from the leading sites will be asked to help coordinate these site visits with visiting TCG staff. Once the 2019 host city is selected, TCG will begin the selection process for the 2020 host city from the remaining proposals. Site visits for 2020 likely will not begin until summer 2018.
